Contracts lapse quietly

An annual maintenance contract rarely ends with a decision. It ends because the expiry date passed while everyone was busy with the work in front of them. Nobody refused to renew — nobody was asked. By the time the customer next calls with a fault they are out of contract, the conversation is about a quotation instead of a visit, and the renewal that should have been routine is now a sale you have to win again.

That is what makes renewals worth systematising ahead of almost anything else in a service business. A renewal is revenue you have already earned once, from a customer who already knows you, at no acquisition cost. It is the cheapest income in the business and the easiest to lose to a date nobody was watching.

What ZoltOps does with your AMCs

Every contract has an expiry date, and the date is watched

Each contract records its start and expiry date, the equipment it covers, the serial number, the annual value and the visit frequency. The contract list shows a countdown as expiry approaches and flags contracts that have already run out, so the question "what is due next month?" is answered by looking rather than remembering.

Renewal reminders send themselves

Thirty days before a contract expires, ZoltOps sends a reminder — once per contract, to your team and to the customer. Your copy carries the customer, the equipment, the expiry date and the annual value, so it can be acted on without opening the app. The customer's copy tells them their cover is ending and invites them to renew. Thirty days is deliberate: it leaves room to quote, follow up and collect a purchase order before cover actually lapses.

Contracts are created from the sale, not typed twice

When a sales order includes a contract item, the AMC is created from it — so the contract exists from the moment it is sold rather than when somebody remembers to record it. The contract stays linked to the quotation and sales order it came from.

Visits, jobs and invoices stay on the same record

Contracts carry a visit frequency and a next visit date, and completed visits are counted against the contract, so you can see what has been delivered against what was promised. Service jobs and invoices live in the same system, which means the enquiry, the job, the invoice and the renewal are all one history rather than four.

Who this is for

Any business that maintains equipment under contract. The equipment changes; the contract does not:

Questions people ask about AMCs

What is the difference between AMC and CMC?

An AMC (Annual Maintenance Contract) usually covers labour and scheduled preventive visits, with spare parts charged separately as they are used. A CMC (Comprehensive Maintenance Contract) covers labour and parts together for one price, so the service provider absorbs the cost of replacements. An AMC is cheaper for the customer and lower risk for the provider; a CMC costs more but makes the customer's yearly spend predictable. Which one suits depends on how old the equipment is and how often it fails.

How do I track AMC renewals so contracts do not lapse?

Record an expiry date against every contract and have something watch those dates for you. In ZoltOps each contract carries its expiry date, the list shows a countdown as it approaches, and a renewal reminder is sent automatically before the contract ends — once per contract, to both your team and the customer. A spreadsheet can hold the dates but cannot tell you when one is close.

When should an AMC renewal reminder be sent?

Far enough ahead to quote, follow up and close the renewal before cover lapses. ZoltOps sends the reminder 30 days before expiry, which leaves time for a customer to approve a quotation and raise a purchase order without the contract running out in between.

Does AMC software work for more than one type of service business?

Yes. The pattern is the same wherever equipment is maintained under contract: HVAC and cooling, IT services, healthcare equipment, pest control and electrical contractors all run contracts with an expiry date, scheduled visits and a renewal to win. The equipment differs; the contract does not.

Is a GST invoice issued for AMC payments?

Yes. AMC contracts carry an annual value and can be invoiced from the contract, and invoices are raised with GST against the customer's place of supply.
